In May, Inovalon will be verifying eligibility of all dependents enrolled in the Inovalon benefit plans.

To follow industry best practice, ensure regulatory compliance, and to help control the cost of benefits for everyone, our benefits administrator, Assured Partners, will be conducting an audit to validate the dependent status for any family members currently covered under the Inovalon medical, dental, and vision plans.

What is a Dependent Eligibility Audit and why is Inovalon conducting the audit?
A Dependent Audit verifies the eligibility of dependents receiving health insurance benefits and removing those who are not qualified for coverage. This audit helps control health care costs by ensuring that only eligible dependents are enrolled in the Inovalon medical, dental and vision plans.

Who will be included in the audit?
All associates who cover one or more dependents under the Inovalon medical, dental, and/or vision plans will be included in the audit. Detailed information to include a list of covered dependents, the documentation that is required to verify their continued eligibility and instructions on how to submit documentation will be sent to your home address by Assured Partners in May 2024.

Who is considered an eligible dependent under the Inovalon benefit plans?
In general, eligible dependents include:

  • spouse;
  • domestic partner; and
  • your children, including biological children, stepchildren, adopted children, children placed for adoption and children you are legally obligated to support. The limiting age for children is 26, except there is no limiting age for children who are dependent on you as the result of a disability

What are some examples of ineligible dependents?
Any dependents enrolled in the Inovalon benefit plans that are found to be ineligible during the dependent audit, will be removed from coverage. Some examples of ineligible dependents would include:

  • partner or significant other that is not an eligible spouse or domestic partner;
  • parents;
  • grandparents or grandchildren;
  • relatives other than your children

How can I confirm what dependent(s) I currently have enrolled into my medical, dental, and/or vision plan?
To view your enrolled dependents, Log In to the benefits enrollment portal by entering your Username (your corporate email address) and your Password (if you don’t remember your password, select ‘Forgot Password’ to reset). Once logged in, select My Benefits > Current Benefits from the upper navigational menu to view your benefit coverages with enrolled dependents.

When will the audit take place?
The Dependent Eligibility Audit will begin in May 2024. There is no action required until the audit begins though now is the time to begin gathering your documentation in preparation of the audit.

A few days before the start of the audit, associates with dependents on the Inovalon medical, dental and/or vision plans will receive a complete package of instructions about how to complete the dependent verification either online, fax or email. This package will be mailed to your home address.

Detailed instructions will also be emailed to your work email from Inovalon@assuredpartners.com on the first day of the audit. Please be sure to check your junk folder for the email.

What documentation will be needed to verify an eligible dependent?
All associates who cover one or more dependents under medical, dental, or vision will be required to provide proof of dependent relationship for each family member covered (i.e. marriage certificate, tax documentation, birth certificate, etc). Review the list of Eligible Documentation for Dependent Verification now and start collecting the documentation for your dependent(s).

Where and how do I submit the required documentation?
Documentation must be submitted directly to Assured Partners. Instructions on how to submit your documentation can be found under Uploading Verification Documents.

What if my documents are in a language other than English?

If you have a document that needs to be translated, please reach out to the Inovalon Benefits Center at 888-896-8031 or by email at inovalon@assuredpartners.com for your translation options.

Are original documents required?
No, only COPIES of documents are requested for dependent verification purposes. Please redact/black out all financial information, Social Security Numbers, and account numbers. This data is not needed for verification purposes.

How do I obtain birth and marriage certificates if I do not have them?
For links to information about each state’s requirements for obtaining birth and marriage certificates, please access cdc.gov/nchs/w2w.htm.

Will I be reimbursed for the cost of obtaining the required verification documents?
No, any charge for obtaining copies of required documents is your responsibility.

Where can I find the Affidavit of Domestic Partnership to have it completed and notarized?
You may download it here. It can also be found on the Inovalon benefits website under Verification Documents.

What happens if my dependent is not verified during the audit?
If, as a result of this audit, it is determined that you are covering an ineligible dependent and/or cannot provide documentation as evidence of eligibility, coverage for that dependent will be terminated as of June 30, 2024 and you will be responsible for any healthcare expenses incurred by the ineligible dependent. Termination of an individual who was not eligible for benefits is not a COBRA qualifying event.

What happened if I do not provide documents by the deadline?
If you fail to complete the verification process, your unverified dependents will be removed from the Inovalon medical, dental and/or vision plans on June 30, 2024. Termination of an individual who was not eligible for benefits is not a COBRA qualifying event.

I have already submitted documentation verifying that my dependent child is eligible (such as birth announcement or birth certificate). Must I resubmit that documentation?
Inovalon implemented dependent verification across the organization effective January 1, 2024. Therefore, associates exempt from the dependent audit include those who have already verified their dependents for the 2024 plan year (i.e. as a new hire in 2024 or during the Open Enrollment period for 2024).
